How to calculate a personal trainer rate
A useful rate starts with the income you need after business costs, then divides by the sessions you can realistically deliver. That is different from copying another trainer's package price.
Most coaches overestimate billable weeks. Holidays, illness, quiet Januarys, and unpaid admin all reduce the number of paid sessions in a year. Using 46 working weeks is often more honest than 52.
Gym splits matter. If a facility keeps 30–50% of session revenue, your advertised rate must rise so your take-home still covers income and costs. Business expenses — insurance, software, travel, continuing education — also need to be included before you call a rate profitable.
Session price is not the same as effective hourly income. Travel, programming, messages, and no-shows all dilute the number on the invoice.
