This Privacy Policy explains how Regains OÜ ("ReGains", "we", "us", or "our") collects, uses, stores, and shares personal data when you use the ReGains website, mobile applications, Apple Watch application, and related services (collectively, the "Service").
ReGains provides software for fitness professionals and their clients.
By creating an account or using the Service, you acknowledge that you have read this Privacy Policy.

Where a fitness professional uses ReGains to process information about their clients, the trainer may also act as a controller of that information, and ReGains may process certain information on the trainer's behalf in order to provide the Service.
2. Who This Policy Covers
This Privacy Policy applies to:
- fitness coaches and personal trainers using ReGains;
- clients using ReGains;
- purchasers of programmes or other eligible services;
- visitors to the ReGains website; and
- users of the ReGains mobile and Apple Watch applications.
The Service is designed around coaching relationships. Depending on the feature and applicable sharing settings, information entered by a client may be made available to their assigned trainer.
3. Personal Data We Collect
3.1 Account and profile information
Depending on how you use ReGains, we may collect:
- name;
- email address;
- account type;
- profile photo;
- authentication and sign-in information;
- trainer and client relationships;
- account preferences;
- invitation, referral, or affiliate information; and
- other information you choose to add to your profile.
Passwords are not stored in plain text.
3.2 Coaching and fitness information
ReGains may process information that you or your trainer enter into the Service, including:
- fitness goals;
- experience level;
- training preferences;
- assigned and completed workouts;
- exercises;
- sets, repetitions, weights, duration, and workout notes;
- running activities and training results;
- workout feedback, including RPE and how you felt;
- personal bests and progress information;
- body measurements;
- nutrition targets;
- meal plans and food logs;
- check-in responses;
- mood, sleep, and energy information;
- messages and attachments exchanged through the Service; and
- coaching content.
Some of this information may constitute health data or other special-category personal data under applicable privacy law.
4. Progress Photos
Uploading progress photos is optional and is not required to use the main features of ReGains.
Progress photos may be used to:
- track physical progress;
- compare changes over time; and
- provide progress-related features inside ReGains.
Progress photos are private by default.
A newly added photo log is visible only to you unless you explicitly choose to share that log with your assigned coach.
Your assigned coach can access a progress photo only while they are your assigned coach and only where you have enabled coach sharing for that photo log.
Other clients and unrelated trainers cannot access your private progress photos.
Progress photos are stored using access-controlled private storage and are not intentionally exposed through permanent public URLs.
ReGains does not use progress photos for:
- facial recognition;
- biometric identification;
- authentication;
- advertising; or
- marketing,
unless a separate use is clearly presented to you and you provide any consent required by applicable law.
You may delete individual photos or an entire photo log through the Service.
Deleting a photo removes the relevant record and corresponding file from active application storage, subject to limited backup, security, or legal retention where applicable.
5. Apple Health and HealthKit
If you choose to connect Apple Health, ReGains may request permission to access specific health and fitness information through Apple's HealthKit framework.
Connecting Apple Health is optional.
ReGains only requests access to HealthKit data types that are required for features available to you.
Depending on the ReGains features you use and the permissions you grant, this may include:
- workouts and workout activity;
- workout start and end times;
- workout duration;
- heart rate;
- resting heart rate;
- active energy burned;
- steps;
- walking or running distance;
- body weight;
- sleep information; and
- other health or fitness data specifically identified when permission is requested.
Apple controls the HealthKit permission interface.
You can choose which HealthKit data types ReGains is permitted to access and can change those permissions through Apple Health or your device settings.
ReGains does not use information obtained through HealthKit for:
- advertising;
- marketing;
- advertising profiling; or
- unrelated use-based data mining.
We do not sell HealthKit data.
We do not provide HealthKit-derived data to advertising networks or data brokers.
HealthKit data is used only to provide and improve health, fitness, workout, running, progress, and coaching functionality for the user.
Where health information is stored on ReGains servers, access is restricted according to the relevant ReGains account and sharing settings.
ReGains does not store personal health information obtained through HealthKit in Apple's iCloud.
6. Health Data Sharing With Your Coach
Health and wearable information is private by default unless a feature clearly states otherwise.
Where supported, you may choose to share particular categories of information with your assigned coach.
These categories may include:
- daily activity information;
- workout health information;
- running activities;
- recovery information;
- body weight; and
- routes.
Your coach cannot enable these permissions on your behalf.
Where ReGains provides separate sharing controls for different categories, enabling one category does not automatically enable another.
Routes are controlled separately because GPS traces may reveal sensitive locations such as your home, workplace, or other frequently visited locations.
Turning off a ReGains coach-sharing option prevents your coach from subsequently accessing the relevant information through that sharing feature, subject to information that has already been lawfully received or must be retained.
Sharing information with a coach through ReGains does not change your Apple Health permissions.
Apple Health permissions and ReGains coach-sharing permissions are separate controls.
7. Location and Running Routes
If you use outdoor activity features such as running, ReGains may request access to your device location.
Depending on the feature, location access may be required while an activity is in progress and may continue while the application is in the background or the device is locked.
Location information may be used to:
- measure distance;
- calculate pace;
- record an activity route;
- display the route after a workout; and
- associate location-derived metrics with an activity.
We do not use precise location or recorded workout routes for advertising or marketing.
Recorded GPS routes can reveal sensitive locations such as a user's home, workplace, or frequently visited locations.
For this reason, route sharing with a coach is controlled separately where that feature is available.
You can control system location permissions through your device settings.
If you disable location access, features that require route or GPS tracking may not function correctly. Other ReGains functionality will remain available where technically possible.
8. Apple Watch
If you use the ReGains Apple Watch application, the Service may process workout information generated during an activity.
Depending on the permissions and functionality you use, this may include:
- workout type;
- workout start and end time;
- workout duration;
- heart rate;
- distance;
- pace;
- active energy;
- workout intervals; and
- other workout metrics.
This information may be synchronised with your ReGains account so that you and, where you have enabled the applicable sharing settings, your coach can review the activity.
Apple Health permissions continue to control ReGains' access to HealthKit data.
9. Nutrition and Body Information
You may optionally provide information such as:
- height;
- weight;
- age;
- sex or gender information where requested;
- activity level;
- nutrition targets;
- calorie intake;
- macronutrients;
- meals; and
- food photographs.
This information is used to provide nutrition, coaching, progress, and related functionality.
ReGains does not provide medical diagnosis or medical treatment based on this information.
10. Communications and User-Generated Content
Where available, users may submit:
- messages;
- attachments;
- posts;
- photographs;
- check-in responses;
- workout notes;
- coaching materials; and
- other user-generated content.
Content may be visible to other users only according to the purpose and sharing settings of the relevant feature.
We may process content where reasonably necessary to:
- deliver the Service;
- investigate reports;
- prevent abuse;
- enforce our Terms & Conditions; or
- comply with legal obligations.
Users may report inappropriate content or behaviour using available reporting functionality or by contacting info@regains.fit.
We may restrict or remove content or accounts that violate our Terms & Conditions or applicable law.
11. Payment and Transaction Information
Where you make a purchase, we may process:
- product or subscription information;
- transaction identifiers;
- purchase status;
- billing period;
- entitlement information;
- trainer earnings or commission information; and
- limited information returned by the applicable payment provider.
Depending on the purchase and platform, payments may be processed by Apple, Stripe, or another disclosed payment provider.
ReGains does not receive or store the complete payment card number for payments processed by Apple or Stripe.
Payment providers process payment information under their own privacy terms.
12. Technical and Usage Information
We may process limited technical information necessary to operate, secure, troubleshoot, and improve ReGains, including:
- device and application information;
- operating system information;
- application version;
- security and authentication events;
- error and diagnostic information;
- IP address where processed by our infrastructure;
- API security and rate-limiting information;
- feature usage information;
- online presence information where required for communication features; and
- locally stored preferences.
If analytics services are used, they must process information consistently with this Privacy Policy and applicable privacy requirements.
HealthKit-derived information is not provided to analytics or advertising services for advertising, marketing, advertising profiling, or unrelated use-based data mining.
13. How We Use Personal Data
We process personal data to:
- create and operate ReGains accounts;
- provide workouts and coaching functionality;
- record and display training progress;
- provide running and workout tracking;
- provide nutrition functionality;
- enable trainer and client communication;
- synchronise eligible health and fitness information;
- process purchases and subscriptions;
- administer trainer earnings where applicable;
- provide customer support;
- secure the Service and prevent abuse;
- comply with legal obligations; and
- maintain and improve the reliability and functionality of the Service.
We do not sell personal data.
14. Legal Bases Under GDPR
Where the General Data Protection Regulation ("GDPR") applies, we process personal data using one or more of the following legal bases.
Contract
We process information where necessary to provide ReGains and the features or services requested by you.
Consent
We rely on consent where required, including for certain health information, optional device permissions, or other processing that requires consent.
Legitimate interests
We may process information where reasonably necessary to secure, maintain, operate, and improve the Service, provided those interests are not overridden by your rights and interests.
Legal obligation
We process information where necessary to comply with applicable legal requirements.
Health information and other special-category personal data is processed only where an appropriate legal basis and an applicable condition under Article 9 GDPR are available, including explicit consent where required.
You may withdraw consent for consent-based processing at any time.
Withdrawal does not affect processing that was lawful before consent was withdrawn.
15. Who We Share Information With
We may use trusted service providers to operate ReGains, including providers of:
- cloud hosting;
- private file storage;
- authentication;
- email delivery;
- payment processing;
- error monitoring;
- infrastructure and security; and
- other technical services necessary to operate ReGains.
Where required, these providers process personal data on our behalf under appropriate contractual arrangements and must provide protection consistent with applicable privacy requirements.
Information may also be shared:
- with your assigned trainer where required for coaching functionality and permitted by the relevant sharing settings;
- with assigned clients where necessary for trainer-created coaching functionality;
- with authorities where required by applicable law; or
- in connection with a corporate transaction where legally permitted and subject to appropriate safeguards.
Progress photos are available to an assigned coach only according to the relevant photo-sharing settings.
Health and wearable information is available to an assigned coach only according to the applicable sharing settings.
GPS routes are not shared with a coach unless the relevant route-sharing setting is enabled.
We do not sell personal data.
HealthKit-derived information is not shared with advertising networks or data brokers.
16. International Data Transfers
Some of our service providers may process information outside the European Economic Area ("EEA").
Where required by applicable law, we use appropriate safeguards for international transfers, such as:
- European Commission Standard Contractual Clauses;
- adequacy decisions; or
- other legally recognised transfer mechanisms.
17. Data Retention
We retain personal data only for as long as reasonably necessary for the purposes for which it was collected and as required by applicable law.
Retention periods may vary by category.
For example:
- account information is generally retained while the account remains active;
- workout, coaching, and progress information is generally retained while required to provide the account and related features;
- chat and other user content is generally retained until deleted or the relevant account is deleted, subject to applicable legal requirements;
- progress photos remain until the photo or photo log is deleted or the account is permanently deleted, subject to limited backup, security, or legal retention;
- health and fitness information is retained while required for the relevant functionality or until deletion according to available controls;
- payment, transaction, tax, and accounting records may be retained for the period required by applicable law;
- security records may be retained for a limited period where reasonably necessary to protect the Service;
- temporary technical caches may be retained for short periods; and
- password-reset or similar security tokens are retained until they are used or expire.
When information is no longer required, it is deleted or anonymised unless continued retention is required or permitted by law.
18. Your Privacy Controls
Depending on the feature, you may be able to:
- edit account information;
- delete eligible content;
- control coach sharing;
- change Apple Health permissions;
- change location permissions;
- delete imported information;
- withdraw applicable consent; and
- permanently delete your ReGains account.
Apple Health and location permissions can also be changed through your device settings.
Withdrawing or denying optional permissions may prevent the associated feature from functioning but should not prevent access to unrelated functionality where technically possible.
19. Account and Data Deletion
If you have a ReGains account, you can initiate permanent account deletion using the account deletion functionality provided within ReGains.
Account deletion is not merely account deactivation.
When an account is permanently deleted, ReGains deletes or anonymises personal information associated with that account that we are not legally required or otherwise legally permitted to retain.
This may include, as applicable:
- profile information;
- coaching relationships;
- workouts and workout results;
- messages and user-generated content;
- progress information;
- progress photos;
- health integration credentials;
- imported health information;
- running activities;
- stored routes; and
- other account-linked personal information.
Some information may be retained where required or permitted by law, including certain:
- payment and transaction records;
- accounting and tax records;
- fraud-prevention information;
- security records; and
- information required for legal claims or compliance.
Backups may temporarily contain deleted information until the relevant backup is overwritten or deleted according to our backup retention process.
Deleting a ReGains account does not necessarily cancel a subscription managed by Apple or another external payment provider.
Where applicable, users should separately cancel the subscription through the applicable billing provider.
If Sign in with Apple is used for the relevant ReGains account, associated credentials and tokens will be handled in accordance with applicable Apple requirements when the account is deleted.

20. Your Privacy Rights
Depending on where you live, you may have rights including:
- access to your personal data;
- correction of inaccurate personal data;
- deletion of personal data;
- restriction of processing;
- objection to certain processing;
- data portability;
- withdrawal of consent; and
- the right to lodge a complaint with a competent supervisory authority.

We normally respond within the period required by applicable law.
If you believe your personal data has been processed unlawfully, you also have the right to lodge a complaint with the competent data protection supervisory authority.
21. Security
We use technical and organisational safeguards designed to protect personal information.
Measures may include:
- encrypted network connections;
- authentication and access controls;
- restricted access to private files;
- secure credential handling;
- private object storage;
- encryption where appropriate; and
- security monitoring.
No online system can guarantee absolute security.
Users should protect their account credentials and notify us if they believe their account has been compromised.
22. Children
ReGains is not intended for children under 16 years of age.
You must meet the minimum age required by our Terms & Conditions and applicable law to create and use an account.
Where parental or guardian consent is legally required for a minor, such consent must be obtained before the relevant personal data is processed.
23. Third-Party Services
Features that connect to or depend on third-party services may also be subject to the privacy practices and controls of those providers.
For example:
- Apple Health information is additionally controlled through Apple's Health and device privacy settings;
- Apple-processed purchases are subject to Apple's applicable privacy practices; and
- Stripe-processed payments are subject to Stripe's applicable privacy practices.
Use of a third-party service does not give ReGains permission to use information obtained from that service for unrelated purposes.
24. Changes to This Privacy Policy
We may update this Privacy Policy when our Service, processing activities, or legal obligations change.
The latest version will be published with an updated "Last updated" date.
Where required by applicable law, we will provide additional notice or request consent before material changes take effect.
