This Privacy Policy explains how ReGains ("we", "us", "our") processes personal data when you use https://regains.fit and related services (the "Service"). We provide online coaching software for fitness professionals and their clients.
By creating an account or using the Service, you confirm that you have read this policy. If you do not agree, please do not use the Service.
1. Data controller
The data controller responsible for your personal data is the operator of ReGains, reachable at info@regains.fit. For registered company details (legal name, address, registry code), email us and we will provide them on request.
2. Who this policy covers
- Fitness coaches and personal trainers who register for a trainer account
- Clients invited by a trainer, including optional Regains Master accounts
- Visitors to our public website pages
If you are a client, your trainer decides what coaching data to collect about you inside the Service. Your trainer is responsible for their coaching relationship with you; we process client data on the trainer's instructions to deliver the platform.
3. Personal data we collect
Account and identity
- Name, email address, and account type (trainer or client)
- Authentication credentials (passwords are handled by our identity provider; we do not store plain-text passwords)
- Profile photo, if you upload one
- Sign-in method (email/password or third-party sign-in, if you choose it)
- Invite or affiliate tokens used during registration
Coaching and fitness data
- Goals, experience level, time commitment, and optional health notes you provide at registration
- Body measurements (such as weight, height, waist, age, gender, activity level) and calculated targets
- Assigned and completed workouts, including sets, reps, weights, notes, and duration
- Meal plans, nutrition targets, food logs, macros, and meal photos
- Weekly check-ins, progress photos, mood, sleep, and energy entries
- Messages and attachments exchanged with your trainer or clients through in-app chat
- Feed posts, likes, and coaching content published by trainers
Payment and billing
- Subscription plan, status, and billing dates
- Payment references from our payment provider (we do not store full card numbers)
- Payout details you submit as a trainer (such as email or bank account details for earnings)
- Transaction and commission records linked to your account
Technical and usage data
- Online presence indicators (such as last active time) to show availability in the app
- Device-related data in support messages (for example browser type when you report a bug)
- Security and rate-limiting data processed during API requests
- Preferences stored on your device (such as unit system or dismissed notifications)
4. How we use your data and legal bases
Under the EU General Data Protection Regulation (GDPR), we rely on the following legal bases:
- Contract — to create and manage your account, deliver workouts, nutrition, chat, progress tracking, and subscriptions you sign up for
- Legitimate interests — to secure the Service, prevent abuse, improve reliability, and show presence indicators that help coaches and clients communicate
- Legal obligation — where we must retain or disclose data to comply with law
- Consent — where required, for example optional health-related information you choose to provide, marketing if we ever offer it separately, or non-essential cookies if we enable them in the future
Health and fitness information may be considered special category data under GDPR. We process it only where you provide it voluntarily to use coaching features, based on your explicit consent at registration or when you enter it in the app, and as necessary to perform our contract with you and your trainer.
5. Who we share data with
We use trusted service providers who process data on our behalf under data processing agreements:
- Identity and authentication providers — to manage secure sign-in and account access
- Payment processors — to handle subscriptions, checkout, and trainer payouts
- Cloud hosting and storage providers — to run the Service and store uploaded content (such as profile photos, meal images, chat attachments, and progress photos)
- Email delivery providers — to send transactional messages (verification, password reset, account notices)
- Other infrastructure partners that help us operate, monitor, and protect the Service
We may also share data with your trainer (for client accounts) or your assigned clients (for trainer accounts) as part of the Service. We do not sell your personal data.
6. International transfers
Some of our service providers may process data outside the European Economic Area. Where this occurs, we use appropriate safeguards such as Standard Contractual Clauses or equivalent mechanisms required by GDPR.
7. How long we keep data
- Account data — for as long as your account is active, then deleted or anonymised within a reasonable period unless we must retain it for legal purposes
- Billing records — as required by tax and accounting law (typically up to seven years where applicable)
- Chat, workouts, and progress data — until you or your trainer deletes it or the account is closed
- Short-lived technical caches — usually minutes to hours
- Password reset tokens — until used or expired
8. Security
We apply technical and organisational measures to protect personal data, including encrypted connections (HTTPS), access controls, and secure storage for uploaded files. No online service can guarantee absolute security; please use a strong password and keep your login details private.
9. Your rights
If you are in the EEA, UK, or another region with similar laws, you may have the right to:
- Access the personal data we hold about you
- Correct inaccurate data
- Delete your data (subject to legal exceptions)
- Restrict or object to certain processing
- Data portability, where applicable
- Withdraw consent at any time (without affecting prior lawful processing)
- Lodge a complaint with your local supervisory authority
